October Is the New February: Why Boundary Leaks Are Killing Your PT Business

2 min read

If September is the “not so new January” where everyone shows up with big intentions,

then October is officially the new February.

And October is where the cracks start to show.

By week three or four of autumn, similar to February the initial hype wears off. Clients start hitting snooze and sending last minute texts asking to push sessions back. They cancel on a Tuesday morning because “work got crazy” and expect you to magically fit them in on Friday

afternoon, when you just want to be at home...all without paying for the missed slot.

The reaction from the vast majority of personal trainers? They let it slide.

They swallow the frustration, eat the cost and smile through it. Why? Because they are

terrified of losing the client, operating under the outdated belief that “the customer is

always right.”

The Cost of Playing Nice

Here is the harsh reality...the customer is NOT always right when it comes to your

calendar. When you let a client dictate your cancellation boundaries, you aren’t providing good

customer service...you’re running an unregulated charity.

Do the basic maths:

If you let three “flexible” cancellations slip by each week at €30–€35 a session, you are

casually lighting €400 to €500 a month on fire. That's a fair bit of money to be losing, especially when you encourage it. That’s your gym rent, mortgage or your own profit margin gone.

Worse than the lost revenue is the psychological toll. You end up sitting around the gym

waiting for them to decide to turn up, resentful that your time isn’t respected. And then expected jump into action with a smile...because we can't upset the client can we?

Raising the Standard

After a Summer break on my own PT side, I decided I’d had enough of watching clients waste my time and their own investments. I wanted to raise standards and asked only those clients, whose goal was a priority to them, to contact me. A few clients realized they weren’t ready for that level of commitment and chose not to rebook, which was fine.

Do I regret it? No...because it protected my standards, increased my business efficiency and allowed me to focus on clients who genuinely wanted to achieve their goals.

If you want to be viewed as an elite trainer, you have to operate like one. That starts

with setting expectations that allow you to actually deliver results.

Stop Guessing Your Boundaries

Fixing boundary leaks isn’t about having a shouting match with a client or sending

aggressive texts. It comes down to how you structure your onboarding, your client

agreements and your payment models before session one ever happens.

If your diary is currently full of late reschedules, unpaid ghost slots and clients who treat

your time like a suggestion, let’s grab a coffee.

Drop me a direct message to set up a sit-down this month.
